Creating/ Mapping Additional Fields

What are Additional Fields?

Additional fields are fields that can be used to pass “hidden” data for all leads captured at an event. The data is hidden in the sense that it is not captured by the staff user when they interact with a lead, the data will be automatically associated with every lead at that event.

You use  additional fields when you want to pass the same value for some field, for all leads captured at an event. An example might be a campaign ID, or some other identifer you are going to use to bucket these leads in your MA or CRM system.

atEvent supplies several default  additional fields for you to use. Some of the most commonly used are:

  • Event Name - This will pass along the event name where the lead interaction was captured
  • Campaign ID - This will send the Campaign ID that you have designated to your MA/CRM
  • Submitted by User - This will pass along the atEvent user that captured the lead interaction
  • Date Created - This will pass along the date/time that the lead interaction was created
Note: You may notice that some of the above additional fields do not send the same value for each lead interaction for an event. For example, the “Submitted by User” value could be different for each lead if you have several users collecting leads. However, in   most cases these A dditional Fields will pass a static value (Event Name, Campaign ID) in your  lead interactions and the default value will be set at the time of creating the event.

A. Create Additional Field (Company Settings)

Creating Additonal Fields in the Company Settings is the first place you will create and manage these special fields.

1. Company Settings:
   a. Mouse-over the circular icon
   b. Select "Company Settings" from the dropdown menu.

2. Click the "Field Setup" tab

3. Field Setup
   a. Click the "Additional Fields" tab
   b. Click the (+) "Add Fields" icon

4. Create Additional Field:
   a. Enter Label: In this example we are entering "Pardot Campaign ID"
   b. Enter Type: Enter "Single Line Text"
   c. Fill in the checkbox for "Editable"

Note: As previously mentioned we want to make this Additional Field editable because every event will have its own Pardot Campaign ID. By making it editable we can update this field in the Event section with a unique Pardot Campaign ID for each specific event. Thus, this field in the Company Settings serves only as a placeholder for that data. If you don't want this field to be editable you can leave the checkbox unfilled. Examples of fields non-editable fields would be for " Submitted by User" and " Date Created" where static values would not be entered at the event level.

   d. Click the "Save" button

B. Edit Additional FIeld (Company Settings)

1. Edit Additional Field (Move Additional Field to the top of the list)
   a. Mouseover the eight-dot icon at the left side of the row and a 4-arrowed icon will appear (this enables dragging the Additional Field to wherever you want in the list) 
   b. Drag "Pardot Campaign ID" to the top of the list

2. Edit Addtitional Field (Continued):
   a. Pardot Campaign ID now appears at the top of the list
   b. Click the "Edit" icon

3. Edit Additional Field (Continued):
   a. Label: In this example we have updated the label from "Pardot Campaign ID" to "HubSpot Campaign ID"
   b. Default Value: We have left this blank. Typically, if your Additional field is editable you would enter a default value at the Event level, not here in the Company Settings
   c. Description: We have also left this blank.
   d. Click the "Save" button

C. Additional Field Setup (Event Level) 

In Section A we created a new Additional Field "Pardot Campaign ID". In this Section we will demonstrate how to assign a static value for a specific event.

1. Go to your Event/ Event Details and click "Edit"

2. Scroll down and find the Additional Field "Pardot Campaign ID"
   a. Enter a value: In this example we have entered: 1234567890
   b. Click the "Save" button

D. Mapping Additional Fields in your MA/CRM connection profile

Once you have created Additional Fields in the Company Settings you will want to map them to your MA/CRM. 

1. Company Settings:
   a. Mouse-over the circular icon
   b. Select "Company Settings" from the dropdown menu

2. Click on the "MA/CRM Configuration" tab

3. Select your connection profile from the dropdown menu. In this example we have selected "Pardot Production"

4. Scroll down and find Additional Fields.
   a. Find Pardot Campaign ID. Click the down arrow ▼ on the dropdown menu
   b. Search field mapping by starting to type "pardot"
   c. The search function will find the value you are looking for. Select "pardot_campaign_id"

5. Mapped Field: The mapped field "pardot_campaign_id" will now show up in the dropdown window.

6. Unmap Mapped Fields:
a. Click the down arrow ▼ on the dropdown menu
b. From the dropdown menu select the field that is currently mapped. In this case "pardot_campaign_id"

7. Unmapped Field: The field will once again display as "Not Mapped"

8. Scroll to the bottom and click the "Save" button to save any changes to Field Mapping.
